Please note that the following conditions form part of your agreement with Wild Norway (WN) when you apply to join a tour or expedition. So please read through them before booking.
Please be aware that many of our trip venture into very remote areas, where lack of logistics, unforeseen obstacles and weather may cause delays of days and even in some cases weeks. We will do our utmost to stick to the program, but we must all be flexible.
Safety will always the at the centre of our attention and actions, even at the risk of having to halt progress or even call off an expedition at a late stage. Wild Norway must insist on having the last word on this matter – your well-being is our primary concern.
CONCLUSION OF CONTRACT: Agreement between the parties shall be deemed to have been concluded upon receipt of the customer’s deposit for the actual trip. This payment shall be made with the application or on an agreed date due. Where payment is not made by the date due, WN shall not be bound by the contract.
WHAT IS INCLUDED IN THE CONTRACT: The contract covers the trips as described on the website www.wild-norway.com or in the itinerary for tailor made tours. WN reserves the right to make alterations in the program, provided the customer is informed of these.
PRICE CHANGES: WN retains the right to adjust prices in the event of fluctuations in government taxes and/or transport costs and/or the relevant currencies. Any price alterations shall be announced no later than 14 days prior to departure. Where price increases exceed 10% the customer shall have the right to terminate the agreement at no cost to him/herself. The customer shall have a minimum of 3 days to terminate the agreement after notice of such a price increase.
Deposit
Be aware that your place on a trip will only be reserved after a down payment is paid. Sending us an enquiry will not secure a seat on your preferred trip or date.
For our fixed departure tours and trips that costs under NOK 50.000,-
Wild Norway charges 25 % of the product price as a down payment. The remaining amount shall be paid no less than 60 days prior to departure. If the remaining amount is not paid within 60 days Wild Norway reserves the right to cancel your seat. After you have booked and paid a down payment you will receive a booking confirmation with booking details and receipt. Detailed itinerary, equipment list and travel details will be dispatched by email well before departure.
For tours costing NOK 50.000,- and more
the down payment is 50% and must be paid no later than 90 days prior to departure. The remaining sum must be paid no less than 1 week prior to departure
For our expeditions
The expeditions require long-term planning. Aircraft rental & fuel, the making of runway and camp, food, equipment etc must be paid for in advance. For this reason, the following terms of payment have been stipulated:
The deposit, to be paid on application.
The balance, to be paid and received well within 90 days before departure.
If application to join the trip is made less than 90 days before departure, the full sum shall be due with the application.
The deposit is set to US$ 7.500 for the South Pole / €5.000 for the North Pole / Svalbard, Patagonia & Greenland NOK 10.000,- / Finnmark NOK 3.000,- pr person. Medical- and Personal Information Forms from the local logistic providers must be filled inn and signed together a mandatory Waiver.
Wild Norway’s Cancellation
For our expeditions Wild Norway reserves the right to cancel a trip due to weather conditions, if a guide has suddenly become ill and we have no one adequately qualified to replace the guide. Wild Norway is obligated to inform all customers as soon as possible if this is the case.
If Wild Norway cancels due to any of the abovementioned reasons, the customers will receive a full refund of the paid amount (down payment or product price), except from any costs not directly related to the product, e.g. such as flight tickets, hotel accommodation, insurance or personal equipment not included in the product itself (please see the travel insurance section).
Customer’s Cancellation
If something occurs that prevents you from travelling on a booked trip, we would like to help you in changing to another date or adventure if possible without any extra charge. There may be an additional fee if the alternative trip has a higher fee or a refund if the selected trip has a lower fee. If it is impossible to find a new date and a trip is cancelled by the customer, we will charge the customer after the following terms:
- When cancelling 90 days or more before departure the deposit will be repaid in full.
- Cancelling from 90 days to 60 days prior to departure, Wild Norway serves the right to keep the down payment (25 % of the total product price).
- Upon cancelling within 60 days to 30 days before departure Wild Norway serves the right to charge you for 50 % of the product price.
- If cancelling 30 days or less before departure Wild Norway will charge you for 100 % of the product price.
This sum is to cover the costs of all the logistics and preparations we already have done in advance of a trip, in which many will be a direct and non-refundable cost for us. Despite these terms and conditions, we aim to reach agreeable terms wherever possible and would rather have you on one of our trips and share exciting adventures with us!
If a customer decides to cancel a trip Wild Norway must receive that information as soon as possible and be delivered in written form, preferably through emails to info@wild-norway.com. Cancellation date is the date Wild Norway has received the cancellation.
Force Majeure
In case of emergencies, natural disaster, political disturbances and the like beyond our control (Force Majeure), which leaves with no other option than to cancel or alter a trip, Wild Norway is not obligated to refund any deposit or total trip costs which may have incurred on the customer, as this in most cases is to be covered by travel insurances. However, customer satisfaction is important to us, and if Force Majeure is to occur, we will ensure the best service and security as we possibly can, and in many cases re-booking a trip to another date may be the best option.
Limitation of Liabilities
Wild Norway, or anyone representing Wild Norway, is not responsible for any delays, inconveniences, accidents, injuries, cancellations or expenses of any kind resulting entirely, or in part, from the negligence of others, the customer or from causes beyond our control. By agreeing to our terms and conditions, participants assume all risks of personal injury and aggravation of any medical condition related in any way to the activities of the tour. Baggage and other personal properties are solely the responsibility of the owner and we are not liable for any loss incurred on the customer. We advise our customers to carefully read through their insurance policy to check the coverage before going on any trip.
Customer’s Special Requests
Any Special requirements must be informed to Wild Norway at the time of booking. Wild Norway will try to accommodate special requirements where possible. Special requirements also includes allergies of any kind and dietary restrictions and special medical conditions.
Travel and accident Insurance
Wild Norway will not be liable for any illness, injury or death sustained during a tour or an expedition, nor will it be liable for any uninsured losses of your property. WN shall not be responsible for any injury to person (whether or not resulting in death) or damage to property arising out of any act of war, terrorism, insurrection, revolt or other civil or military uprising occurring in the countries of origin, destination or passage. We strongly recommend that you have a travel insurance that covers not only the travel but also cancellation, sickness/medical conditions, lost/stolen luggage and personal items and in case of Force Majeure.
Customer information
When you book a trip through our web page, you will be required to give out some personal data. This may vary depending on what trip you are booking, but we always ask for your name, phone number and email address before you can pay through our booking system.
We gather data that is relevant for us to ensure you get the best service and security on our trips. This includes age, gender, and health condition where relevant, your email address and phone number for additional contact, your country of origin and current residence. Additional info such as shoe size, height, weight, allergies, physical and health condition etc. may also be required for some of our more technically and physically advanced trips and expeditions. Information such as shoe size, height and weight is necessary when it comes to equipment provided by us to the customer; pulks, skis, poles etc.
Wild Norway will never give out any personal data to any third party and is solely for our own use.
Films and Photos
Wild Norway reserves the rights to advertise our tours on the internet and on social media. This will often include photographs and films with participants. If any participant does not wish to be shown on film or photos from our trips, please inform us before departure.
Newsletters and future contact
Wild Norway sends out newsletters with updates on all the exciting trips we have done and plan to do in the future along with news and inspiration. This is a great way to get offers and stay connected with us.
It is optional to subscribe to our newsletters but we would be happy if you did so we can keep you updated. Subscribing to our newsletter or joining one of our trips gives Wild Norway the right to send out newsletters and updates to your email address
Changes to our website
Wild Norway reserves the right to change website material at any time, including our terms and conditions. Receiving a booking confirmation from Wild Norway will include the terms and conditions in the pdf-file. It is therefore these terms and conditions, in which you have agreed to when paying the down payment, that applies to your trip and any changes done to our terms and conditions after you have received a booking confirmation will not affect you in any way.
Governing Law
This contract is governed by Norwegian law, by agreeing to our terms and conditions the customer agrees that any dispute or claim shall be tried under Norwegian law.
If, by any means, a customer feels there is a reason to file a complaint or resulting in a dispute, Wild Norway must be notified as soon as possible. The customer shall inform the guide, if this happens during a trip, about the complaint in which is forwarded to Wild Norway and confirmed in writing by us to the customer’s email address. Wild Norway will always attempt to resolve any dispute or complaint on the spot. If a complaint arises after a trip has been finished, Wild Norway must receive the complaint in written form no later than two weeks after the trip is done.
